The team includes a two-part unit which includes financial business managers involved with the annual budget and merit processes, year-end close, financial reporting and approvals and a transaction-focused unit that facilitates journal processing, accounts payable processing, as well as other functions, in a high-touch customer service environment.About the Position:This role is an on-campus, in-person position.The Accounting Liaison role is a generalist role that will be the initial & primary contact for the financial needs of the Meadows Museum and the Custard Institute for Spanish Art & Culture for accounting/accounting process and payroll duties including, but not limited to: journal entry requests; accounts payable process coordination (obtain ICDs, W-9s; complete Payment Requisitions, Invoices); vendor communication and management; extra-compensation initiation, review and approvals; facilitating and/or directing regarding other processes including Concur, Procurement, Budget, Asset Tagging and Management, manage petty cash, handles cash and credit card deposits, create ad-hoc reports, distribute. financial reports, and assure accounting rules and/or university policy is applied properly, etc.Essential Functions:Main Duties: Serve as go-to person for assigned schools/area for accounting/accounting process & payroll duties including JE requests, accounts payable, & payroll. Assist and/or direct requests including Concur, Procurement (PCards/Purchase Requisitions), distribution of financial reports, creating ad-hoc reports for Director/others ,etc., with goal of providing effective & efficient customer service.Responsible for processing invoices for assigned school/area which includes; provide or confirm fund/org to bill, obtain proper org owner approval (DocuSign), obtain & confirm proper completion of W-9 form, complete/review ICD request in coordination with department staff, initiate/obtain PO and/or contract for invoices over $5k, vendor follow-up as needed, assure invoice is forwarded to proper liaison within maximum 2 day turnaround; coordinate research for past due invoices/past due vendor statements, work with other teams as needed to process payments to foreign vendors; and other AP support duties as assigned.JE Processing: Responsible for requesting journal processing needs for assigned school and/or area; provide JE back-up; confirm accuracy of request w/org owner or others as applicable; obtain org owner approval where required; apply proper accounting rules & university policy to request; explain adjustments needed to requestor.Payroll: Initiate & complete extra-compensation for faculty and staff which includes verification of proper account code; confirm amount of payment, proper approvers are assigned, proper employee type is selected, and proper attachments are uploaded (i.e. agreements/contracts), etc; coordinates communication between departments & payroll staff for all follow-up required; etc. Submit ePAFs to hire student employees.Other Duties: Handles deposits and manages petty cash, will train/provide resources/info to school/area faculty/staff as appropriate on accounting/procurement and other B&F processes; coordinates with Sr. FBM regarding annual processes (merit/budget/year-end close); assists with asset management and tagging processes; responds to auditors/tax as needed; & other duties as assigned.QualificationsEducation and Experience:An Associate's degree is required. Candidate with bachelor's degree is preferred.A minimum of two years of experience in an accounting role is required. Experience working in a cohesive team environment is preferred. Candidate with experience in higher education administration is a plus.Knowledge, Skills and Abilities:Candidate with knowledge of generally accepted accounting practices, principles and FASB rules is required. A strong customer service orientation is important as this role represents a team of creatives to university leadership and staff in other finance/accounting areas. Candidate must have a high-comfort level with technology and must be able to maintain confidentiality.Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills.Candidate must demonstrate proficiency with Microsoft Excel. Experience initiating DocuSign for approvals is highly preferred. Knowledge of Microsoft Word and Outlook is strongly preferred.
