Job Description:

WHAT YOU'LL DO
Work with the Office Services team to ensure the smooth day-to-day operation and consistently high level of support services for the Dallas (DAL) office including: Efficient management of the resources devoted to providing an excellent staff and guest experience when in the DAL office
Continuous improvement in the quality of Office Services through training, workflow, proper support systems and processes
Lead and mentor general office support functions, and directly manage -3 Office Service team members
Maintenance of the office facilities and service contract
Lead/participate in special projects as needed
Share best practices across NAMR offices and participate in regional meetings

YOU'RE GOOD AT
Oversee the operational infrastructure for the DAL office:

Organize and support the implementation of all required general business services including reception, catering, mail services, supplies and purchasing

Manage vendor relationships and agreements as required for effective office operations including catering, equipment, supplies, maintenance, and other services and products

Coordinate & communicate office seating assignments

Ensure provision of a safe and appropriate office environment through facilities management including oversight of general maintenance, security, landlord relationships, and maintenance of office space, including office furniture, fixtures, and files

Coordinate and supervise client and BCG team visits and develop processes and procedures to ensure high quality experience for all guests; assist guests and teams as needed

Provide support and supervision for event planning, including offsite and onsite events

Lead and organize Emergency Evacuation team

Management and supervision of staff:

Ensure appropriate support level of office coverage; manage schedule to cover for planned (vacation) and unplanned (illness, etc.) staff absences

Seek to continuously improve quality, morale, knowledge and teamwork through strong communication and daily involvement in coaching and development

Daily problem solving and prioritization of competing demands

Help drive and maintain a collaborative working environment with other departments

Keep abreast of time management, event planning and communication skills training/conferences/technology; make recommendations for staff members to attend training

Administer and ensure consistency, fairness and equity in the performance review process

Develop and implement team training and support staff development

Recruit, orient, train and support retention of staff

Provide performance improvement feedback and planning when appropriate

Long term management of support services

Provide input to OC on developing administrative staff procedures, programs and initiatives geared toward improving the overall effectiveness of the support services

Take an active leadership role for the Office Services team

Create and encourage a stimulating work environment

encourage participation in professional development activities

foster teamwork within work groups, across functions and throughout the office

raise awareness of the role of the BST in the success of BCG

Manage budgets as needed

YOU BRING (EXPERIENCE & QUALIFICATIONS)
Bachelor's degree with 5+ years of experience in a professional services firm, ideally in a supervisory position (strongly preferred)
Computer proficiency in Windows, Word, Excel, PowerPoint and Outlook
Infrequent travel may be required
Occasional evening and weekend work may be required
Strong service orientation and sensitivity in responding to customer needs
Demonstrated strong interpersonal, communication and facilitation skills
High degree of flexibility in a fast-paced environment
Ability to handle difficult situations with poise, understanding and tact
Ability to handle competing priorities, keeping constant sight of the overall objectives
Resourceful with strong problem-solving capabilities
Strong organizational skills, project management skills and attention to detail
Demonstrated effective and empathetic leadership and team management experience
Willingness to perform a wide range of services from routine tasks to unique analyses
High degree of integrity, a positive attitude, and the ability to maintain absolute confidentiality
