Job Description:

The Executive Assistant is a senior-level position supporting the executive leadership team, including the CEO and CFO. This role is an exciting opportunity to partner directly with key members of the leadership team and impact overall company operations and employee experience.

Responsibilities
Organize meetings, including the preparation of agendas, requiring a knowledge and understanding of the purpose of the meetings, organizational priorities, and confidentiality expected. Ensure that attendees know of any pre-meeting work required. Compile pre-meeting materials. Prepare meeting minutes as required.
Prepare various correspondence and documents for appropriate signature for both internal as well as external distribution, including taking responsibility for overseeing timely preparation, distribution, filing, etc. as applicable.
Prepare reports and presentations as needed.
Represent the department in dealing with both internal team members and external contacts such as vendors, residents, or other interested parties. Answer questions or deal with tasks independently as well as determine other needed team member involvement as applicable. Keep leaders informed about relevant items.
Maintain and actively manage multiple executive calendars including recurring meetings, prioritizing appropriately and using good judgment in offering solutions to complex scheduling and meeting planning as needed, as well as proactively making updates to future conflicts.
Enable complex travel activities. Prepare and coordinate complex and multi-stop travel, including accommodations, local transportation. Proactively anticipate potential travel issues and respond accordingly.
Compile, submit, and track expenses for the executives in a timely manner according to the company's policies.
Assist with community operations administrative tasks as designed by senior-level leaders. This may include supervision and reporting of select, important community-level transactions.
Demonstrate an adaptive and flexible work style effective for working with varied senior-level leaders, on-site team members, and off-site team members that are geographically dispersed.
Complete other projects, special assignments, other tasks, and duties as assigned. Projects may require research, gathering data, analysis, and reporting on results, working both independently and as part of a team.
Supervise office management including identifying appropriate team members or contracted 3rd parties to maintain smooth office operations. This may include delegating or completing office supply requisitions, overseeing maintenance or cleaning, or various other office tasks as required.
Maintain a high level of confidentiality with sensitive information, documents, etc.

Qualifications
Associate degree or higher preferred.
5+ years of Executive Administrator experience.
Expertise in independently managing multiple concurrent tasks and meeting rigid deadlines.
Strong MS Office skills (Excel, PowerPoint, Word, Outlook, Teams) and proficiency with Adobe Acrobat required.
Must present a high degree of professionalism in both written and verbal communication.
Strong problem-solving skills and reasoning to solve administrative issues.
Excellent attention to details and exceptional quality assurance skills, especially proofreading skills for accuracy and completeness.
Must be flexible, adaptable, and thrive in a fast-paced, changing environment.
Must be self-motivated and able to work independently.
Must be a team player able to foster collaborative relationships with other teams and internal stakeholders.
Able to handle confidential material in a professional manner.
Professional personal presentation.
