About the Position: The Assistant Director 1 manages all aspects of operational delivery and client engagement of executive education programs. The position serves as the primary point of contact for program participants and is essential to the successful operation of the department's programs. - The position is responsible for shaping the customers' total service experience from first impression to first contact to delivery and post program follow-up. The position serves as a team member and partner with client staff, business development, and Cox instructors. The position requires regular early morning and evening work to manage delivery of evening programs. Essential Functions: Collaborate with program academic director to plan and develop content for promotional activities leading to attendance fulfillment in programs. As part of sales and marketing strategy and continuity, attend and contribute professional expertise and informational support to encourage enrollment and participation. Provide decision-making input and assist with determining faculty effectiveness and retention for future programming. Responsible for retaining valuable revenue stream of registration enrollment. Analyze and determine appropriate utilization to ensure profitability of programs. Leverage data base management system to control registration, attendance, and payments. Negotiate and purchase with service providers, audit and reconcile monthly financial invoices, and coordinate with departmental finance manager to ensure program revenue. Coordinate and navigate the overall as well as the detailed delivery and execution of programs/events in accordance with prevailing internal and external customer service standards so that participants' overall experience is exceptional. Effectively inform and communicate with participants, instructors, and client contacts. Manage and negotiate relationships with outside providers to ensure superior performance. As an empowered representative of SMU, Cox, and Executive Education during these programs, initiate changes to procedures and service standards in order to improve service quality, efficiency, and cost. For assigned programs, serve as the primary point of contact with program clients and outside instructors. Problem-solve service delivery issues and administer service recovery activities. Ensure timely and exceptional program delivery through scheduling and logistical coordination of catering, entertainment, facilities, security, instructors, hotels, classrooms, as well as the preparation and distribution of program materials for both participants and instructors. Create and maintain a welcoming presence as the SMU contact during program duration, accountable for providing information, instructions, consultation, as well as responding to program inquiries-all of which could lead to future business revenue. Responsible for the compilation, summary, and recommendations of evaluation data that can be administered for future programming. Engage and collaborate with colleagues to serve as the operational arm of Cox/Executive Education, developing and delivering complex custom and open programs that are intricately linked to the sales, marketing, and finances functions of the department. Contribute by developing strong team-based internal and external relationships, as well as supporting and assisting other team program managers in achieving continuity and high standards of service. Qualifications Education and Experience: Bachelor's degree and a minimum of one year of professional work experience is required. OR A high school diploma or equivalent and a minimum three years of professional work experience. Work experience in education, training, higher education, and/or event coordination is strongly preferred. Knowledge, Skills and Abilities: Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. A strong customer service orientation and customer focus is essential. Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills. Candidate should have thorough understanding and experience of budgets, pricing, negotiation, and process flows. Must also have strong decision-making skills and be action oriented. Candidate must have a strong working knowledge of Microsoft Office Suite (Word, Excel and PowerPoint). A working knowledge of and/or experience with project management and CRM software is preferred. Physical and Environmental Demands:
