Overview - - We are looking for a rockstar candidate who is solutions-oriented, can expertly manage their time, priorities, stakeholders and multiple resources, and can confidently juggle creative projects for our internal agency. Picture this: A stakeholder is looking for delayed copy, a campaign manager is asking for a job status, and another stakeholder wants you to reschedule a project to accommodate a hot request. Where do you begin? - Ruby's Creative Project Manager possesses a true passion for collaboration, organization, planning, and problem-solving. This role is accountable for setting and managing creative project schedules through the creative development process, from kickoff until the project is closed out, aware at all times of the status of assigned jobs. They maintain up-to-date information on projects in Asana (e.g., changing schedules, routing progress, etc.) and provide timely updated statuses. - Our Creative Project Manager is an essential role to Ruby's internal Agency, having a continuous pulse on the team, projects/campaigns/tasks, processes, and capacity. We are looking for someone who knows how to provide creative project management that endears us to our clients, produces high quality work, and is as efficient as possible. - The Creative Project Manager will report to the Director, Brand Marketing and can be located remotely within our operating states, or from our Portland, OR, or Kansas City, MO, office. - What You'll Be Accountable For - -

  • Work with the Brand Marketing leadership team to vet all requested Creative Projects from multiple stakeholders and internal team members and support the on-time (or early) execution and delivery of creative deliverables. -
  • Responsible for project intake, triage, resourcing, building out schedules and timelines, tracking, updating schedule shifts and changes, and reporting on all Creative Projects as well as proactively identify, monitor, problem solve, communicate, and mitigate potential risks. Will often submit project requests into Asana on behalf of Brand Marketing leadership as well.
  • Work collaboratively to allocate resources based on internal Agency's bandwidth and priorities, appropriately prioritize projects based on business goals, and ensure projects flow smoothly, avoid bottlenecks, and meet deadlines. -
  • Partner across internal teams, freelancers, media partners, and Agency to improve overall inter-departmental workflow. Identify process improvement opportunities and recommend fixes where needed.
  • Vet -work coming into the Agency to ensure each project fits within Agency scope and includes all necessary information before assigning work to Agency or freelancers; consult with SMEs to identify when assets can be repurposed rather than reinventing the wheel. -
  • Own the annual project schedule. Submit projects to Agency to ensure known recurring projects don't become a rush.
  • Proofread all work before routing for final approvals-ensuring all project requirements are met. -
  • Efficiently and effectively monitor daily activity and priority shifts. Assess, manage, resolve, and escalate (if necessary) risks and issues. Call out scheduling, resource, or other issues well in advance and offer up creative solutions for addressing them; communicate effectively in difficult and time-sensitive situations. -
  • Ensure the team and stakeholders are aware of timing implications of requested changes and communicate to all impacted partners.
  • Provide planned and on-demand status reports and updates.
  • Own asset management, file organization, and maintenance of the server folder structure. - - Your Work DNA -

  • Demonstrated ability to maintain confidentiality of sensitive information. - Your Background - -
    • Minimum 3 years' experience in traffic / creative project management in an agency or in-house creative department, or equivalent combination of education and experience -
    • Strong proofreading and editing skills with a proven track record of superb attention to detail and accuracy -
    • Experience using project management software. Expertise in Asana preferred; understanding Asana best practices and organization preferred, inclusive of creative resourcing and allocating work to team members, maintenance of key project details, and compiling data and reports for management -
    • Working knowledge of creative and production processes to appropriately determine required resources through each stage of content creation -
    • Proficiency in Microsoft Office (Word, PowerPoint, Excel, etc.), Teams and Adobe Suite
    • Project Management certification, a plus
    • Fluency in Spanish, a plus - Work Environment Candidates near Portland, OR, or Kansas City, MO, have the option to work from one of our beautiful open-concept offices. Ruby requires employees to be fully vaccinated against COVID-19 and up to date on their booster before working in-office, full-time or hybrid. If an in-office environment isn't for you or the distance is prohibitive, working from home is also an option for most positions, unless otherwise stated in the job ad.
