For more information, please visit AspiraConnect.com.Job Summary:The ideal Executive Assistant candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, professional, flexible and enjoy the administrative challenges of supporting C-level executives as well as supporting the operations and facilities within our organization. In this role you will interact with staff, senior management, and executive members in a fast paced environment. A high level of professionalism and confidentiality is crucial to this role.RESPONSIBILITIES:Scheduling/Meeting Management

  • Responsible for heavy calendar management and coordination of a variety of complex executive meetings and company-wide meetings
  • Manage all meeting details such as room reservations, preparing agendas, securing necessary IT equipment, initializing presentations, catering, and attendee updates
  • Assist in the event planning, organization, and execution of company activitiesTravel
    • Prepare extensive domestic and international travel arrangements including air, hotel, ground transportation and itineraries for executives
    • Communicate and handle incoming and outgoing electronic communications on behalf of the executive teamAdministrative
      • Screen calls and route executive correspondence and emails
      • Prepare draft letters and prepare presentations
      • Coordinate and initiate conference calls
      • Review and summarize miscellaneous reports and documents
      • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
      • Time to time fulfillment of personal tasks, as requiredLiaison
        • First point of contact, in person and calls, for executives from internal departments and external clients.
        • Meet and greet executive's guests, Board Members, vendors and investors
        • Maintain and protect highly confidential corporate information and communicate information within scope of authority
        • Assist other department managers and staff on an as-needed basis
          Requirements:
          • 0 - 1 years of experience supporting C-Level Executives in a fast paced, growing organization
          • 0 -1 years of experience supporting a technical organization in a coordinator type role
          • Bachelor's degree or equivalent work experience
          • Expert at MS Office and Outlook programs
          • Sense of urgency and positive attitude
          • Dependable, highly organized and strong attention to detail
          • Flexibility and adaptable to changing business needs, conditions and work responsibilities
          • Travel coordination (domestic & international) or travel agency experience
          • Strong problem resolution and project management skills
          • Ability to act independently and use discretionary judgment
          • Exceptional verbal, written and communication skills
          • Ability to handle multiple priorities at any given time
